Apparel Providers for Greater Kingston Minor Hockey (GKMH)
January 29, 2025
INTRODUCTION
Greater Kingston Minor Hockey (GKMH) invites qualified apparel vendors to submit proposals for the
provision of high-quality apparel and merchandise for our organization. Vendors will supply items
including: team uniforms, practice gear, outerwear and branded merchandise for players, coaches, staff
as well as family and other community members who wish to support the program. GKMH seeks to
establish partnerships with vendors who are capable of delivering reliable service, quality products and
competitive pricing.
ABOUT GKMH
Greater Kingston Minor Hockey is committed to fostering the development of young athletes through
organized hockey programs. Our teams compete at the highest level of minor hockey (AAA) in the OMHA
and our players, coaches and families represent the Greater Kingston region with pride. Apparel plays a
crucial role in promoting team identity, unity and professionalism.
SCOPE OF SERVICES
Approved vendors will be responsible for:
1. Apparel Supply (Note: vendors may be approved for some, or all, of the following items and
additional items may be added to the offering at the discretion of GKMH.)
o Team uniforms including primary and alternate jerseys, socks and pant shells.
o Practice gear including jerseys, socks, shirts, shorts and warm-up suits.
o Outerwear including jackets and hats.
o Branded merchandise for players, families and fans such as ballcaps, hockey bags,
scarves and blankets.
2. Customization
o A variety of decoration processes including embroidery, screen printing, sublimation, etc.
to apply logos, names and numbers.
o Compliance with GKMH’s branding guidelines including receiving approval from the
GKMH Apparel Coordinator for all designs and logo applications, prior to decoration.
3. Order Management
o Provide an efficient online and/or in-person ordering system for players and families.
o Ensure accurate and timely fulfillment of orders.
o Work closely with the GKMH Executive and Apparel Coordinator.
4. Customer Support
o Resolve order issues, exchanges and returns promptly.
5. Delivery
o Offer reliable delivery/pick-up options to the Greater Kingston area.
PROPOSAL REQUIREMENTS
Vendors must include the following information in their proposals:
1. Company Profile
o Overview of the company, including years of operation and experience in sports apparel.
2. Product Offerings
o Catalog of available apparel and customization options.
o Details on materials, quality and sizing options.
3. Pricing Structure
o Detailed pricing for products and services, including volume discounts, rebates.
o Information on setup fees, customization charges and shipping costs.
4. Order Fulfillment
o Description of ordering process, timelines and delivery methods.
5. References
o List of at least three current or past clients, preferably sports organizations.
6. Value-Added Services
o Any additional services or incentives that differentiate the vendor from competitors.
EVALUATION CRITERIA
Proposals will be evaluated based on the following:
1. Quality of products and customization options.
2. Competitive pricing and transparency.
3. Efficiency of order management and fulfillment processes.
4. Vendor’s experience and references.
5. Value-added services.
6. Alignment with GKMH’s branding and requirements.

TERMS AND CONDITIONS
1. GKMH reserves the right to accept or reject any or all proposals without prior notice.
2. Selected vendors may be asked to enter into a formal contract with GKMH.
3. Proposals must remain valid for a period of 90 days from the submission deadline.
